Project Invoicing Specialist
Our client is a mid-sized organization north of Milwaukee seeking a temp to permanent Project Invoicing Specialist. The ideal candidate will have at least three years of invoicing experience, possess strong attention to detail and excellent communication skills. This is 100% in the office Monday through Friday and full-time hours. Start date is the first or second week of January. Please apply for immediate consideration.
RESPONSIBILITIES
- Generate and send invoices to clients in a timely manner.
- Ensure new jobs are set up correctly in the project accounting system.
- Review job progress and costs with project managers on a regular basis to ensure costs are accurate and to identify variances from customer quotes and purchase orders.
- Proactively raise job-related problems directly with project managers and IPM management as required.
- Prepare ad-hoc job reporting as needed by the project managers.
- Ensure the accounting team is aware of job invoicing tasks, including progress billing.
- Support teammates in the preparation of customer invoices as required.
- Open and track capital purchase jobs through to completion.
- Close customer jobs upon completion of all job-related activities and archive final job revenues and costs into the project management system.
- Assist with month-end close activities including revenue recognition, reporting on job margins, and reconciliation of work-in-process.
EXPERIENCE REQUIRED
- 3+ years of project accounting experience; a background in construction, manufacturing, professional services, or other industry with complex job costing needs is preferred.
- Strong computer knowledge and skills, including financial accounting systems and Microsoft Excel proficiency; experience with NetSuite is helpful but not required.
- Desire to work in a fast-paced, results-driven environment.
- Demonstrated ability to communicate effectively with internal employees and external customers.
- Aptitude and desire to propose and implement process improvements.
