A well-established, family-oriented organization is seeking an Office Coordinator to join its Milwaukee team. This position starts out as temporary and we’re seeking someone who would like a long-term permanent role assuming performance and business needs are there.

Unlike a traditional customer service or front-office coordinator position, this role is primarily behind the scenes, with a strong focus on internal communication, documentation, labor tracking, reporting, and keeping projects organized. Approximately 25% of the position will involve phone/customer communication, with the remainder focused largely on administrative and internal coordination.

This could be a great opportunity for someone who enjoys staying organized, following up on details, working with multiple departments, and helping a busy operational team stay on track. This role is 100% onsite Monday through Friday with hours of 7am to 4pm.


Responsibilities
  • Provide administrative and operational support to the Mitigation team and department leadership.
  • Coordinate information and communication between project managers, field employees, accounting, and other internal departments.
  • Review and process crew timesheets, track labor hours/costs, and follow up on missing or inaccurate information.
  • Maintain project files and documentation, including work authorizations, purchase orders, subcontractor information, and other job-related records.
  • Prepare and update reports, spreadsheets, tracking tools, and project information within company systems.
  • Assist with scheduling, staffing information, training records, equipment tracking, and other departmental needs.
  • Communicate professionally with customers, employees, vendors, and other stakeholders while helping ensure projects and administrative deadlines stay on track

Qualifications
  • High school diploma required; associate degree is a plus.
  • Previous experience in administrative support, office coordination, operations, project coordination, or a similar role.
  • Strong organizational skills and attention to detail with the ability to manage multiple priorities.
  • Comfortable working with timesheets, reports, spreadsheets, data entry, and detailed documentation.
  • Strong communication and interpersonal skills with a professional, customer-service-oriented approach.
  • Ability to work independently, solve problems, and proactively follow up when information is missing.
  • Proficiency with Microsoft Office; experience in construction, restoration, field services, or project/job-tracking systems is a plus.
