Our client is an organization in the Green Bay area looking for a Legal Executive Assistant. Our client is looking for someone with strong executive-level administrative experience, exceptional organizational skills, and the ability to support multiple professionals in a fast-paced environment. This individual will provide high-level support to attorneys while helping coordinate day-to-day office operations and serving as a key resource across the organization.

 

The Legal Executive Assistant will be responsible for, but not limited to, the following:

 

RESPONSIBILITIES

  • Provide executive-level administrative support to multiple attorneys, managing competing priorities and deadlines.
  • Manage calendars, schedule meetings, and coordinate appointments and other commitments.
  • Prepare initial drafts and shells of legal documents for attorney review.
  • Proofread, edit, and format legal documents, correspondence, and other materials with a high level of accuracy.
  • Coordinate printing, scanning, filing, and large document transfers to clients and other parties.
  • Assist with court filings and other legal administrative processes as needed.
  • Maintain accurate time entries and support legal billing processes, including tracking billable time.
  • Coordinate day-to-day office needs, including staff coverage, PTO schedules, and administrative workflow.
  • Delegate appropriate assignments to paralegals and Legal Executive Assistants to ensure work is completed efficiently.
  • Serve as a key point of contact between the Green Bay and Appleton offices, helping facilitate communication and coordination.
  • Provide guidance, mentorship, and oversight to administrative support staff as needed.
  • Maintain confidentiality when handling sensitive client, legal, and organizational information.
  • Identify opportunities to improve administrative processes, workflows, and overall office efficiency.
  • Support attorneys and office leadership with special projects and additional administrative responsibilities as needed.

 

The Legal Executive Assistant will possess the following:

 

EXPERIENCE REQUIRED

  • Strong Executive Assistant, Administrative Assistant, Legal Executive Assistant, or related professional support experience required.
  • Excellent organizational and time management skills with exceptional attention to detail.
  • Demonstrated ability to successfully support multiple professionals and manage competing priorities.
  • Strong written and verbal communication skills with a professional and service-oriented approach.
  • Ability to proofread, format, and prepare professional documents with a high degree of accuracy.
  • Strong interpersonal skills with the ability to effectively collaborate with attorneys, clients, and administrative professionals.
  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Desire to build a long-term career and become a trusted resource within the organization.
  • Legal Executive Assistant or law firm experience preferred.
  • Familiarity with court filings and legal processes preferred.
  • Experience with legal billing, time entry, and billable-hour environments preferred.
  • Previous leadership, office coordination, or administrative staff supervision experience is a plus.
